Mandatory training, one matrix, one source of truth

CQC inspectors ask: has every staff member completed mandatory training X by date Y? In most providers the answer lives in a spreadsheet someone forgot to update, or in an LMS that the governance lead cannot access. The training matrix surfaces the answer in one place, seeded per sector with the regulator's actual expectations, with renewal alerts before a competency lapses.

What CQC expects on training

Regulation 18 of the Health and Social Care Act 2008 (Regulated Activities) Regulations 2014 is the load-bearing statutory citation: providers must deploy sufficient numbers of suitably qualified, competent, skilled and experienced persons to meet service users' needs. The specific competencies a service must evidence vary by sector. CQC inspectors sample the training record alongside recent rota patterns and recent incidents. Gaps are read as governance weakness, not paperwork lapses.

Sector-specific layers add on top: GMC revalidation evidence for medical roles, GDC CPD for dental, NMC The Code for nursing, HCPC standards for paramedics and radiographers. The matrix tracks the generic plus the sector-specific in the same surface, so the inspector reading it once sees the whole picture.

What the matrix shows

One screen, two views:

  • By staff member: every applicable training topic for this person, with the last completion date, the next-due date, and a status pill (in date, due soon, overdue, never completed).
  • By training topic: every staff member against this topic, so the governance lead can see "who has not yet done fire safety this year" without re-asking.

Filter by status (overdue / due soon / never completed), export to CSV, route into the dashboard's Requires Attention zone, drill into any cell to record a completion or upload evidence. No bulk-edit of completion dates (that is a governance hazard); each completion is recorded one at a time with the person who completed it and the person who recorded it both audit-trailed.

Seeded by sector

When you sign up, the training matrix is pre-loaded with the topics + frequencies the regulator expects for your sector. You do not start from a blank page.

  • Independent secondary care: fire safety, MCA, adult safeguarding L2, information governance, manual handling, BLS, infection prevention and control.
  • Adult social care: the ISC list plus Deprivation of Liberty Safeguards (DoLS), medication competency (evidence required), nutrition and hydration.
  • Dental: the generic list plus HTM 01-05 decontamination, Ionising Radiation (Medical Exposure) Regulations (IR(ME)R) local rules, dental radiography (operator and practitioner), medical-emergencies-in-dental, GDC CPD.
  • GP: the generic list plus anaphylaxis + IM adrenaline (annual), FGM mandatory reporting awareness, Prevent (WRAP), cold-chain handling.
  • Ambulance + PTS: the generic list plus driver competency (evidence required), JRCALC currency, Mental Health Act conveyance training for SPT.
  • Diagnostic imaging: the generic list plus IR(ME)R Practitioner and Operator, IRR 2017 Radiation Protection Supervisor, MRI safety screening (for MRI sites), contrast media safety, sonographer scope of practice, FASP obstetric ultrasound competency.

You can deactivate any topic that does not apply to your service. You can add custom topics if you have an internal-policy requirement on top of the regulator's expectations. The audit trail records who deactivated what and when, so if an inspector asks "why is X not on the list" you have the answer.

What providers most often miss

  • Renewal cadence drift: a competency completed once and never refreshed reads as evidence of "we did it" but does not satisfy "we keep it current".
  • Role-specific competencies: clinical staff training is tracked but reception or healthcare-assistant training gets forgotten. Reg 18 applies to every staff member who touches the regulated activity.
  • New-starter onboarding: a new staff member's training record starts at zero, but the rota does not. An inspector looking at a recent incident may sample the rota for that shift and find a new-starter staff member who completed their induction but had not yet finished their sector-specific competencies.
  • Evidence on top of dates: for some competencies (driver competency, medication competency, IR(ME)R Operator), CQC expects the certificate or sign-off document, not just the date.

How Verivius handles the renewal cycle

  • 60-day-before-due alert: the staff member's line manager and the registered manager both see the upcoming due date on their dashboard. A weekly Monday-morning digest summarises the next 30 days' due competencies.
  • Overdue routing: an overdue competency moves into the dashboard's Requires Attention zone with a status pill. The 30-day digest names it explicitly so it does not slip.
  • Audit-trail invariance: every completion records who completed the training, who recorded the completion, the date, and the optional evidence document. A regulator asking "show me the trail behind this competency renewal" gets the answer in one click.
  • CSV export: the whole matrix exports for offline review before an inspection or for inclusion in a Mock Inspection evidence pack.
